Email Delivery

Postal letters can be sent through PostalMethods quickly and easily by sending an email message with the letter as an attachment.  The attachment needs to be of a supported file type, and its first page must include the recipient address block in the proper location.  Nothing in the body of the email will display within your document.  Only the attachment.

This is a quick and simple guide for new users wishing to send a letter by email.

Step-by-step Guide

Sending a single letter by email

A single letter can be sent by simply sending an email message with your document as an attachment. We have easy to use templates to ensure your letter looks great.

  1. Download a sample MS Word document and fill in the three content parts on the page – the sender block (full address of who is sending the letter), the recipient block (who the letter is sent to), and the content area (or download a pre-filled PDF document if you’re just testing).  The recipient address block is located where it’s visible through the envelope window once printed and folded.
  2. Register for a PostalMethods evaluation account. Registration is quick and you will be able to test PostalMethods for free.  The email address placed on the account must be used to send any documents to PostalMethods.
  3. From the same email account used for registering, create a new email message:
    1. Copy this email address into the To line: send@letter.postalmethods.com
    2. Anything can be written in the SubjectThis helps identify the letter in the PostalMethods control panel.  It is not displayed anywhere within the letter
    3. Attach the file downloaded in step #1 (or your own document, making sure that the sender address and recipient address in the correct location) and send the email.
    4. If the document is multiple pages, be sure and attach the pages in the order wanted withing the letter (i.e. upload page 1 first, page 2 second, etc.)

Sending multiple letters by email

Multiple letters can be sent by zipping the individual documents together into one file and attaching it to the email. We have easy to use templates to ensure your letter looks great.

    4. Each document in the zipped file will be treated as one letter.

Checking your letter’s status

  1. Login to the PostalMethods Control Panel using the username and password with which you registered
  2. Find your letter in the activity table by the email subject you used, which is now listed under My Description
  3. Click on the status icon to expend the activity line. You can see more details regarding your letter.
  4. Click on the View PDF and Envelope links to get an idea of how the letter will look once it’s printed and sent (use Internet Explorer or Firefox for best results)

Email Message

Add documents, containing the content of the postal letter, as attachments. Any content appearing in the email body of your email is ignored.

“From:” Address

The originator of the email message must be an Allowed Email Sender (see Setting System Preferences -> Allowed Email Senders in your Control Panel). Messages from unauthorized senders are rejected by the email server upon arrival, with an error message of 550 Unauthorized sender within the SMTP stream.

Subject Line Content

Any content in the subject line is displayed in the My Description field within the control panel’s Activity table, and is for reference only.

Attachments
Content delivered by email is treated as though it already has the destination address in the correct position within the document.

Single Or Multiple Document Attachments:
All attached documents are used to create a single letter. Attachments are handled in the order in which they were attached. The first page of the first document must contain the recipient’s postal address in the correct location You can use a pre-fab template as your document to get started quickly.

ZIP File Attachment:
To send multiple letters in a single email message, attach a single ZIP archive of multiple supported documents. The ZIP file is extracted and each document is treated as an individual letter. Unsupported documents within the ZIP are ignored. Do not use password protected ZIP files. Be aware that some email servers are limited by the size of the email attachment they can handle. Our server will only take zipped documents up to 35 MB.

Feedback
In various stages of handling a letter, PostalMethods will email feedback to the sender.

Feedback is returned to the Reply-To address.  If this is unavailable, it will be sent to the From address of the email message. This behavior can be overridden by setting a “Default Feedback Email” in “User Settings” -> Feedback -> Email -> Advanced Settings -> Default Feedback Email.

Subject Line Switches

You may override default settings by adding “switches” to the subject line. Placing a switch anywhere in the subject line will cause PostalMethods to ignore the default setting in the control panel’s “User Settings”.
